How to Use AI to Write Better Emails in Half the Time
A simple, repeatable way to use ChatGPT, Claude, or Gemini to draft clear, friendly emails without sounding like a robot.
October 28, 2026 · 5 min readEmail eats hours every week. AI assistants can cut that time in half, but only if you give them the right instructions. Here’s a simple method that works with any assistant: ChatGPT, Claude, Gemini, or Copilot.
1. Give the AI the context, not just the task
“Write an email to my client” produces a generic email. Instead, tell it:
- Who you’re writing to and your relationship
- What you need them to know or do
- The tone you want (friendly, firm, brief)
Write a short, friendly email to Priya, a client I’ve worked with for two years. Tell her the project will be delivered on Friday instead of Wednesday because we found a bug we want to fix properly. Apologize once, don’t over-explain.
2. Paste in what you’re replying to
If you’re answering an email, paste it in. The AI will pick up names, details, and questions you need to address, so nothing gets missed.
3. Ask for options
Ask for two or three versions with different tones. Picking the best one is much faster than rewriting one you don’t like.
4. Edit like a human
Always read the draft before sending. Check:
- Facts, dates, and numbers are correct
- It sounds like you
- There’s nothing you wouldn’t want forwarded
5. Save your best prompts
When a prompt works well, save it in a note. After a week you’ll have a personal library of templates for the emails you send most often.
The bottom line
AI won’t replace your judgment, but it removes the blank-page problem. Use it to get a solid first draft in seconds, then spend your time on the part that matters: getting the message right.
